This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have.
By using our website, submitting a form, calling us, or requesting service, you agree to the practices described in this policy.
1. Information We Collect
Information you give us directly
- Contact information: name, email address, phone number, service address, mailing address.
- Service information: equipment type, system age, description of the problem, preferred appointment times, photos you choose to send.
- Property information: home size, property type, and other details needed to quote or perform work.
- Financial information: billing details and, where you apply, financing information. Card payments are processed by our payment provider and full card numbers are not stored on our systems.
- Communications: emails, text messages, chat messages, and, where permitted by law and with notice, recorded phone calls used for quality and training.
Information collected automatically
- IP address, browser type, device type, operating system, and screen resolution.
- Pages visited, time on page, referring URL, and click behavior.
- Cookies and similar technologies, including analytics and advertising identifiers.
Information from third parties
- Lead forms on social platforms. When you submit a lead form on Facebook or Instagram, Meta shares with us the information you entered in that form, along with the identifier of the ad and form you responded to. We use this to contact you about your request.
- Lead marketplaces and directories, such as Angi, Google, and similar services, when you submit a request through them.
- Manufacturers, utilities, and rebate programs, where you ask us to process a rebate or register equipment on your behalf.
2. How We Use Your Information
- Respond to your inquiry, schedule appointments, and dispatch technicians.
- Prepare estimates, perform installations, repairs, and maintenance.
- Process payments, invoices, warranties, and rebate applications.
- Send appointment confirmations, technician arrival notices, and service follow-ups.
- Send maintenance reminders, seasonal offers, and promotions, where you have opted in.
- Improve our website, measure advertising performance, and understand which campaigns bring us customers.
- Maintain records, resolve disputes, prevent fraud, and comply with legal obligations.
3. Text Messages and Phone Calls
If you provide your phone number, you consent to receive calls and text messages from us about your service request, including appointment reminders and technician updates. Message frequency varies. Message and data rates may apply. Reply STOP to opt out of text messages or HELP for assistance. Opting out of marketing messages does not stop transactional messages about work already scheduled.
Consent to receive marketing messages is not a condition of purchase.
4. How We Share Your Information
We do not sell your personal information. We share it only as described below:
- Service providers who operate our business on our behalf, including our field service management platform, CRM, scheduling and dispatch tools, payment processors, email and SMS providers, call tracking providers, cloud hosting, and automation tools.
- Subcontractors and technicians assigned to perform work at your property.
- Manufacturers, distributors, utilities, and rebate administrators, when required to register equipment, honor a warranty, or process an incentive you requested.
- Advertising and analytics partners, including Meta and Google, which receive website activity and, in some cases, hashed contact information used to measure and optimize advertising. We do not send them the content of your service requests.
- Financing partners, when you apply for financing through us.
- Legal and safety reasons, when required by law, subpoena, or to protect our rights, property, or the safety of any person.
- Business transfers, in connection with a merger, acquisition, or sale of assets.
5. Cookies and Tracking Technologies
We use cookies and similar technologies for the following purposes:
- Essential: required for the site to function.
- Analytics: to understand how visitors use the site, including Google Analytics.
- Advertising: to measure conversions and show relevant ads, including the Meta Pixel and Google Ads tags.
You can block or delete cookies in your browser settings. Blocking essential cookies may prevent parts of the site from working. You can also manage ad personalization in your Facebook and Google account settings.
6. Data Retention
We keep customer records for as long as needed to provide service, honor warranties, meet tax and accounting requirements, and comply with applicable law. Marketing contacts are kept until you unsubscribe or ask us to delete your information. Website analytics data is retained according to the settings of each analytics provider.
7. Your Rights and Choices
- Access: request a copy of the personal information we hold about you.
- Correction: ask us to correct inaccurate information.
- Deletion: ask us to delete your information, subject to records we must keep by law.
- Marketing opt out: unsubscribe from emails using the link in any message, or reply STOP to text messages.
- Do not sell or share: we do not sell personal information. You may still ask us to limit the sharing of your information with advertising partners.
To exercise any of these rights, contact us using the details in Section 11. We may need to verify your identity before acting on your request.
8. Data Deletion Requests
You may request deletion of the personal information we hold about you at any time. To do so, send an email to mkt@obiehvac.com with the subject line “Data Deletion Request” and include the name, email address, and phone number you used when contacting us.
We will confirm receipt within 10 business days and complete verified requests within 30 days. If you submitted a lead form through Facebook or Instagram, the same request also removes the record we received from that platform. We may retain records we are legally required to keep, such as invoices, permits, and warranty documentation, and we will tell you if that applies to your request.
9. Data Security
We use administrative, technical, and physical safeguards to protect your information, including encrypted connections, access controls, and vendors who maintain their own security programs. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Children’s Privacy
Our services are directed to adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it.
